The only one that connected everything we use

Used daily for 2+ years

We evaluated three platforms against a list of eleven systems including two fairly obscure ones. Zapier supported all eleven natively; the others wanted custom HTTP work for three. That decided it before we even looked at the builders.

Pros

Coverage. Our ops manager builds her own automations without involving me.

Cons

The bill climbs steadily as workflows multiply. Tasks are consumed per step, which is easy to underestimate.

Problems it solves

Eliminated manual lead entry between our form, CRM and project tool.

Outgrew the pricing at about 30,000 tasks

Used daily for 2+ years

Loved it for two years. Then our volume tripled and the quote made me build the same workflows in Make as an experiment. Same result, roughly a fifth of the cost. Zapier is the right tool to start on and often not the right one to scale on.

Pros

Fastest time-to-value of anything in the category. Templates got us running in an afternoon.

Cons

Per-task economics do not scale. Complex branching feels bolted on compared with a real canvas.

Perfect for a one-person business

Used weekly for 1–2 years

Six automations, a few hundred tasks a month, nineteen dollars. It quietly handles invoicing follow-ups and client onboarding while I do the actual work. At my volume none of the pricing criticism applies.

Pros

Cheap at low volume. Auto-replay of failures means I rarely notice a hiccup.

Cons

Free tier is limited to two steps, which is enough to demo and not enough to use.
