Key takeaways

from our research

  1. 8,000+ integrations — the only tool where the app you need is almost always supported

  2. Non-technical staff build working automations in minutes without help

  3. Per-task pricing bills every step, making multi-step workflows expensive at volume

  4. Worth re-evaluating around 20,000 tasks/month against Make or n8n

Our verdict

Updated Aug 25, 2026Fact-checked Jul 15, 2026

Zapier is the right first automation tool for almost every company, and app coverage is the whole argument. With 8,000+ integrations, the question "does it connect to our niche scheduling tool" has an answer, and that matters more in practice than a better builder — a superior canvas is worthless if the app you need is missing.

It is also the easiest to adopt. An ops manager with no technical background can build a working two-step automation in ten minutes, and the templates cover the obvious cases well enough that many teams never build from scratch. Recent AI steps and agents have made classification and extraction workflows genuinely easy, which used to require code.

The cost is real and it is the reason people leave. Per-task pricing means every action in a multi-step workflow bills separately, and a five-step automation running a thousand times a month is five thousand tasks. Reviewers who scaled past roughly 20,000 tasks a month consistently describe evaluating Make or n8n at that point and finding the maths one-sided. Complex branching is also weaker than the canvas-based tools.

Our guidance: start on Zapier — the time-to-value is unmatched and the free tier proves the concept. Revisit at 20,000 tasks a month, when the same workflows on Make or self-hosted n8n typically cost a fraction as much.

The only one that connected everything we use

Used daily for 2+ years

We evaluated three platforms against a list of eleven systems including two fairly obscure ones. Zapier supported all eleven natively; the others wanted custom HTTP work for three. That decided it before we even looked at the builders.

Six years in and it still runs the business quietly

Used daily for 2+ years

We have about forty automations handling onboarding, invoicing reminders and internal notifications. In six years I can count the failures on one hand, and every one was flagged rather than silent. That reliability is worth more to me than a cheaper per-task rate.

Outgrew the pricing at about 30,000 tasks

Used daily for 2+ years

Loved it for two years. Then our volume tripled and the quote made me build the same workflows in Make as an experiment. Same result, roughly a fifth of the cost. Zapier is the right tool to start on and often not the right one to scale on.

Perfect for a one-person business

Used weekly for 1–2 years

Six automations, a few hundred tasks a month, nineteen dollars. It quietly handles invoicing follow-ups and client onboarding while I do the actual work. At my volume none of the pricing criticism applies.
