Key takeaways
from our research
Unmatched docs-plus-projects integration; context lives next to work
Notion AI (bundled in Business tier) is among the best workspace AI implementations
No native time tracking, workload or portfolio tooling — moderate PM needs only
Pairs naturally with Linear when engineering needs outgrow it
Our verdict
Notion is the best tool in this list at the thing none of the others do: keeping your projects and your knowledge in one place. A project in Notion sits next to the meeting notes that spawned it, the spec it implements and the wiki page it updates — connected by relations, not links to another app. For teams whose real problem is scattered context rather than complex scheduling, that is decisive.
As a pure project manager it is deliberately lightweight. Databases with board, timeline and calendar views cover standard tracking, and the 2025-era Projects templates plus Notion AI (bundled into Business at $15/user/month) close some gaps — AI summaries of sprawling pages are genuinely excellent. But there is no native time tracking, no workload management and no true portfolio roll-up; dependencies are manual. Ambitious PM setups in Notion become beautiful systems that one enthusiast maintains and everyone else tolerates.
Our guidance: choose Notion when documentation is the center of gravity and project needs are moderate — startups, content teams, small product orgs. The free tier is excellent for individuals, Plus at $10 suits small teams. Pair it with Linear (their integration is first-class) when engineering outgrows it, rather than forcing Notion to be something it is not.

“Our company brain, with projects included”
Used daily for 2+ years
Docs, wiki, meeting notes and the project tracker share one graph. Linking a spec to its tasks to its launch announcement is native, not an integration. Notion AI answering questions against our own wiki has genuinely reduced Slack interruptions.

“Consultants: your deliverables system is here”
Used daily for 2+ years
Every client engagement is a Notion workspace section: brief, research, timeline, deliverables. Clients get guest access to exactly their pages. It replaced Google Docs sprawl and a lightweight PM tool simultaneously. Databases take a weekend to click; after that you build anything.

“Product docs and roadmap-lite in one”
Used daily for 1–2 years
We keep PRDs, research and a lightweight roadmap here while engineering execution lives in Linear via the integration. That split is the right one: Notion for thinking, Linear for shipping. Synced databases mean status flows back into the docs automatically.

“Free plan carried our startup for a year”
Used daily for 1–2 years
Two founders, unlimited pages, guests for advisors — all free. We only upgraded when we hired and wanted admin controls. As a pure project tool it is mid; as the place where everything lives with projects attached, it is unbeatable at this price.
