Cross-team coordination finally has a home

Used daily for 1–2 years

Sales ops, marketing and CS coordinate launches in Asana. Portfolios give leadership one view of everything moving. The Rules automation handles handoffs — when creative finishes, sales enablement gets a task automatically. Adoption outside product/eng has been excellent.

Pros

Portfolios, rules, timeline view, approachable for non-technical teams.

Cons

Costs climb with advanced tiers; goals feature is behind the expensive plan.

Client visibility without client licenses

Project status portals via shared dashboards mean clients see progress without asking. Comment-only guests are free, which monday charges for. After ClickUp’s flexibility overwhelmed our team, Asana’s constraints were a relief — fewer ways to do things means people do them.

Pros

Free guests, sane constraints, status updates that write themselves from milestones.

Cons

Less customizable than we occasionally want; no native time tracking.

Onboarding program management, systematized

We run every customer onboarding as a templated Asana project — 40 tasks, dependencies, owner per phase. Nothing gets skipped anymore and handoffs between implementation and CS are visible. Workload view prevents overloading specific CSMs.

Cons

Notification tuning takes effort; inbox can overwhelm new users.

The safest choice for mixed organizations

Across client rollouts, Asana consistently gets the broadest adoption — ops, marketing, HR and engineering can all live with it. It is rarely anyone’s favorite and never anyone’s blocker. Timeline and workload views carry the value for planning-heavy teams.

Pros

Universal usability, mature integrations, reliable performance.

Cons

Deep work management (estimates, sprints) is bolted on, not native.
