Does one thing brilliantly

Used daily for 6–12 months

As an AE I have used Salesforce, HubSpot and Zoho at previous jobs. Pipedrive is the only one that feels built for the person doing the selling rather than the person reading the dashboard. Keyboard-fast, mobile app is genuinely usable in a parking lot before a meeting.

Pros

Speed, mobile app, focus. The AI email drafts are decent starting points.

Cons

Forecasting is basic; managers will want more.

Ran our program office intake on it, oddly well

Used weekly for 6–12 months

Unconventional use: we manage consulting engagement intake as a pipeline. Stages from inquiry to signed SOW, rotting alerts for stalled negotiations. Worked better than the PM tools we tried for this. Reporting kept leadership satisfied with zero spreadsheet massaging.

Pros

Flexible enough for non-sales pipelines, great stage analytics.

Cons

Terminology is sales-locked (deals, won/lost) which confused stakeholders.

Our reps finally update the CRM

Real estate sales lives on follow-up discipline. Pipedrive’s activity-based selling — always a next step scheduled — is the first system our agents did not abandon in week two. Rotting deals turn visibly stale, which triggers exactly the right conversations.

Pros

Activity scheduling, visual deal rot, ridiculous ease of use.

Cons

No real marketing tools; we bolt on Mailchimp and the sync is okay, not great.

Follow-ups stopped falling through cracks; listing pipeline is finally predictable.

Moved off HubSpot and cut our bill 70%

Used daily for 6–12 months

We used maybe a fifth of HubSpot and paid for all of it. Pipedrive Professional covers our actual workflow — pipeline, sequences, forecasting-lite — at a fraction. Migration took a weekend with the built-in importer. We miss the marketing attribution, nothing else.

Pros

Cost, focus, painless migration tooling.

Cons

Ecosystem is smaller; a couple of niche integrations needed Zapier glue.

A consultant’s dream: zero training needed

I set up Pipedrive for clients constantly because it is the only CRM where a non-technical founder is productive on day one. Pipeline view is the product — everything else stays out of the way. For solo consultants the Essential tier is all you need.

Pros

Instant comprehension, activity reminders that actually drive behavior.

Cons

Reporting beyond pipeline metrics is shallow; you will export to Sheets.

Perfect for an agency pipeline, priced fairly

We track retainers and project deals across two pipelines. Advanced tier with email sync does everything a 9-person agency needs at a third of what we quoted elsewhere. Automations handle the proposal-followup-close paperwork.

Price-to-value at small team size, two-way email sync, simple automations.

Cons

Lead inbox feels like a separate half-finished product.

Right size for a one-woman shop

I sell wholesale to boutiques and Pipedrive keeps 200 accounts straight for $14 a month. Nothing about it intimidates me and support answered my one question within hours. It simply does what the screenshots promise.

Pros

Price, simplicity, excellent human support.

Cons

I wish the free-looking lead capture forms were not an add-on.

Good, with caveats at the low end

Essential tier is missing email sync, which feels like the whole point of a CRM — you will upgrade to Advanced within a month, so budget for $39 not $14. Once there, it is smooth and I stopped thinking about the tool entirely, which is the highest compliment.

Pros

Fades into the background of actual selling.

Cons

Essential tier is a teaser; per-seat monthly billing markup is steep.

Client-services pipeline with no admin overhead

Delivery leads update deals between meetings because it takes seconds. The insight we bought it for — how much work is landing next month — is on one dashboard. It will not run your marketing or your projects; pair it accordingly.

Pros

Zero admin burden, clean API for our project-tool handoff.

Cons

Custom fields on the mobile app are clumsy to edit.
