“Unlimited users changed the cost comparison entirely”

On paper Xero and QuickBooks looked similar. Once I counted the five people who need access — me, two account managers, the bookkeeper and our accountant — Xero was substantially cheaper because it does not charge per seat at all.

Pros

Unlimited users on every plan. Cleaner interface. Reconciliation is quick.

Cons

Entry plan caps invoices at 20 a month, which caught us out in month two.

Problems it solves

Everyone who needs the books has access without a per-seat conversation.

“Better product, smaller US network”

Used weekly for 1–2 years

Having used both, Xero is the nicer piece of software. The catch in the US is that fewer bookkeepers work in it daily, so when we needed temporary cover the pool was small. Outside the US I would not hesitate.

Pros

Interface, multi-currency handling, app marketplace.

Cons

Fewer US accountants use it. Support is adequate rather than good.

“Reconciliation that takes minutes not hours”

Used weekly for 2+ years

The bank rules learn quickly and after a couple of months most transactions categorise themselves. I do my books on a Friday afternoon in under an hour, which was not true of the desktop software I came from.

Pros

Fast reconciliation, good mobile app, unlimited users.

Cons

US payroll goes through Gusto rather than being built in.
