Xero is the better-designed product; QuickBooks is the better-connected one. Which matters more depends almost entirely on where you are and who does your books.

The unlimited-users policy is the headline and it is not a small thing. Every plan includes as many users as you want, at no extra cost. For a business where an owner, a bookkeeper, an office manager and an accountant all need access, that alone can make Xero the cheaper option despite similar sticker prices — QuickBooks would push you two tiers up for the same access.

Beyond that, the product is genuinely pleasant. Bank reconciliation is fast, the interface is cleaner and less cluttered than QuickBooks, multi-currency is handled properly on higher plans, and the app marketplace is large. In the UK, Australia and New Zealand it is the market leader and accountant familiarity is a non-issue.

The caveats are mostly American. In the US, QuickBooks’ accountant ubiquity is a real workflow advantage that Xero cannot match, and US payroll runs through a Gusto partnership rather than a first-party product. Entry plans also impose transaction limits that catch out businesses issuing many invoices — check the caps against your volume before committing. Reviewers rate support as adequate rather than good.

Our guidance: outside the US, Xero is our default recommendation. Inside the US, choose it when unlimited users matter or when your accountant is comfortable in it — and choose QuickBooks otherwise.

Unlimited users changed the cost comparison entirely

On paper Xero and QuickBooks looked similar. Once I counted the five people who need access — me, two account managers, the bookkeeper and our accountant — Xero was substantially cheaper because it does not charge per seat at all.

Better product, smaller US network

Having used both, Xero is the nicer piece of software. The catch in the US is that fewer bookkeepers work in it daily, so when we needed temporary cover the pool was small. Outside the US I would not hesitate.

Reconciliation that takes minutes not hours

The bank rules learn quickly and after a couple of months most transactions categorise themselves. I do my books on a Friday afternoon in under an hour, which was not true of the desktop software I came from.
