One subscription replaced four

Used daily for 1–2 years

Tasks, docs, whiteboards, time tracking and forms — we cancelled separate tools for all five. For a lean consultancy the Unlimited tier is absurd value. Yes there is a learning curve; invest the first week in hiding features you do not need.

Pros

Feature breadth per dollar is unmatched. Client portals via guest permissions.

Cons

Defaults are overwhelming; new members need a guided setup or they drown.

Problems it solves

Tool sprawl and the subscriptions that came with it.

Marketing ops home base

Campaign calendars, asset review with proofing, intake forms from sales — all native. Automations move requests between teams without a Zapier tax. It replaced Asana for us primarily on price and the built-in docs.

Pros

Proofing/annotation, forms, automation included at sane tiers.

Cons

Page loads on big spaces have a noticeable lag; the mobile app is rough.

Hospital ops team — customization saved us

Used daily for 1–2 years

Our workflows are nothing like software sprints: credentialing checklists, facility requests, audit prep. ClickUp custom fields, statuses and required-field rules modeled all of it without code. Compliance liked the granular permissions.

Pros

Deep customization, custom statuses per space, form intake with conditional logic.

Cons

So flexible that governance is on you — without an internal owner it degrades into chaos.

Solo founder running everything in one app

Used daily for 2+ years

Products, content calendar, supplier follow-ups — one workspace, mostly on the free plan for a year. The AI writing help in docs is a nice bonus for product descriptions. It can feel heavy for one person but I would rather grow into it than out of it.

Pros

Free plan depth, recurring tasks, goals tracking.

Cons

Occasional sync hiccups between devices; too many notification emails until tuned.
