AI across Google Workspace

Key takeaways

from our research

  1. Native access to Gmail, Docs, Sheets and Drive with no integration work

  2. Deep Research and NotebookLM are genuinely class-leading for sourced research

  3. Native video generation, which none of the other assistants here match

  4. Plan naming and entitlements change often — confirm what your org actually has

Our verdict

Updated Aug 25, 2026Fact-checked Jul 19, 2026

If your company runs Google Workspace, Gemini's native access to your own content beats any quality argument the competition can make. Asking an assistant to summarise the thread in your inbox, pull the numbers from that Sheet and draft the reply in Docs — without uploading anything or connecting anything — is a different experience from copy-pasting into a chat window.

Standalone, it is a strong assistant with two genuine standouts: an unusually large context window, and Deep Research, which produces long sourced reports from a single prompt better than most rivals. Native video generation is a real differentiator too, and NotebookLM — bundled with the paid tiers — is the best document-grounded research tool any of these vendors ship.

The frustrations are commercial rather than technical. Google's AI plans have been renamed and repackaged repeatedly, features move between consumer subscriptions and Workspace add-ons, and working out exactly what your organisation is entitled to takes longer than it should. Reviewers also report more variance in answer quality than with ChatGPT or Claude — very good on its day, occasionally shallow.

Our guidance: on Workspace, buy Gemini and treat any quality gap as the price of native access. Off Workspace, it is a credible alternative but not a compelling switch.

Native Drive access decided it for us

Used daily for 6–12 months

We evaluated on quality and nearly chose a competitor, then realised what "reads your Drive natively" actually means at 400 people. No connectors, no uploads, no shadow copies of confidential documents in someone else's tool. That settled it.

Deep Research does a junior analyst's first pass

Used weekly for 6–12 months

I ask for a market overview with sources and get fifteen pages of properly cited material in a few minutes. It is not a finished deliverable, but it is a genuinely useful starting point and the citations hold up when I check them.

Good, not clearly better

Used daily for 1–2 years

Perfectly capable. In blind comparison against ChatGPT on our own tasks it won about a third of the time and lost about a third. We stayed on it purely because we are a Google shop — I would not switch to it otherwise.
