Overview
What is Workato?
Workato is an integration and automation platform from Workato, Inc., founded in 2013 and headquartered in Palo Alto. Its automations are called recipes: a trigger, such as an event in a connected app or an incoming webhook, starts a job, and the job runs the recipe's action steps in order. IF conditions branch a recipe, loops repeat steps for each list item, and a Handle errors block retries failed actions up to three times before running its own error steps. Python and JavaScript snippets run custom code, and the HTTP connector reaches APIs without a prebuilt connector.
Workato counts more than 1,200 prebuilt connectors. Projects move from development to test and production environments, and recipes export as ZIP packages of JSON files that another instance can import or Git can store. Workato also sells workflow apps for requests and approvals, data pipelines, API management and Agent Studio for AI agents, which it calls Genies. The On-Prem Agent connects recipes to systems inside a private network, and Workato's examples include IT operations, employee onboarding, access provisioning and service desk work.
Workato runs as a cloud service, and even Virtual Private Workato, a dedicated instance, is operated by Workato. Enterprise customers choose a data center region, among them the US, EU, Japan and the UK, while self-service accounts sit in US data centers. Contracts combine a platform edition (Standard, Business MCP, Enterprise MCP or Workato ONE), usage measured in Workato credits or tasks, and optional add-ons. Self-service Free and Pro plans with published prices are sold separately.

Workato is built for companies where IT runs automation and every integration has to pass a security review. Even the Standard edition includes SAML single sign-on, multi-factor authentication, role-based access control and separate development, test and production environments, while Make reserves SSO for its Enterprise plan. Workato lists SOC 1, 2 and 3, ISO 27001, HIPAA and PCI-DSS among its compliance programs, Enterprise customers can keep data in one of nine regions, and the terms say Workato won't use customer data to train or improve any models without written permission.
Its prices are harder to pin down. None of the four editions has a published price, add-ons such as workflow apps and extra concurrency are quoted too, and Workato says plan structures can vary with contract terms and with when a customer joined. Usage is counted in tasks: one for each successful action step, and one per iteration inside a loop, while triggers, IF conditions and error handling don't count. Some contracts measure credits instead, and the pricing docs give no rate for turning tasks into credits, so a bill has to be estimated with Workato's sales team. Standard and Business MCP each include a single concurrency: one recipe job at a time unless more is bought.
Self-service plans are the published exception. Workato Free is a one-time grant of 50,000 credits, and Workato Pro costs $75 a month for 2,500 credits, $100 for 3,500 or $275 for 10,000, billed monthly by card. A credit is Workato's single unit across workflows, documents and agents, and unused Pro credits expire each month. With up to three users per workspace and data held in the US, Pro fits a small team's first recipes, not company-wide use.
Choose Workato when IT needs governed integrations across many enterprise systems and the purchase will go through a sales process anyway. A company that mainly wants SSO and shared automations for up to 25 people can buy Zapier's Team plan at a published $69 a month billed yearly for 2,000 tasks. A technical team that wants environments and Git version control on its own servers can license n8n Business at €667 a month billed yearly for 40,000 executions.

How much does Workato cost?
Workato doesn't publish prices for its four platform editions: Standard, Business MCP, Enterprise MCP and Workato ONE. Each is quoted, and the bill adds usage, measured in Workato credits or tasks, plus any add-ons such as extra concurrency. The self-service plans are the exception. Workato Free is a one-time grant of 50,000 credits, and Workato Pro costs $75 a month for 2,500 credits, $100 for 3,500 or $275 for 10,000, billed monthly by card. See Workato pricing.
What counts as a task in Workato?
Each successful action step in a recipe job counts as one task. Triggers don't count, and neither do control steps such as IF conditions, loops, Stop job and Handle errors. An action inside a loop counts once per iteration, a bulk action counts once however many records it moves, and AI by Workato actions count as more than one task. Failed actions aren't counted, but a rerun job counts the same as the original. A recipe using over four million tasks in a billing cycle is tracked as high-volume.
Does Workato use your data to train AI?
Not without permission. Workato's terms say the account holder owns its data and that Workato won't use it to train or improve any models except with the account holder's prior written permission. The AI by Workato documentation says it runs on Anthropic and OpenAI models and doesn't use user data for training. Enterprise customers can choose where data is hosted, including the US, EU, Japan and the UK; self-service accounts stay in US data centers.
Can you self-host Workato?
No. Workato is a cloud service, and even Virtual Private Workato, a dedicated instance sold as an add-on, is managed and operated by Workato. To reach systems behind a firewall, Workato uses the On-Prem Agent, which connects recipes to systems inside a private network. Business MCP includes three on-prem agents, Enterprise MCP 10 and Workato ONE 30, and more can be bought as an add-on.
Can you export recipes from Workato?
Yes. Recipes and their dependencies export as a ZIP package of JSON files, which can be imported into another Workato instance or stored in Git. Within one account, projects deploy from development to test and production environments. When a contract ends, Workato deletes the account within 90 days, or within 30 days of a written request, so export anything you want to keep before the contract runs out.
