What is Jotform?
Jotform is an online form builder made by Jotform Inc., a US company founded in 2006 that now describes its product as a form builder and workflow automation platform. It's used for contact, registration, order, application and booking forms, and the vendor's own pages point to uses in government, healthcare, nonprofits and summer camps.
Forms are built in the Form Builder in one of two layouts. Classic groups questions on one or several pages, and Cards shows one question at a time. Conditions show or hide fields, skip pages or change who receives the notification email depending on earlier answers, and the Form Calculation widget works out totals and scores in real time. An Appointment field lets respondents pick a time slot and syncs both ways with Google Calendar, Outlook or Calendly. Submissions collect in Jotform Tables and download as Excel, CSV or PDF files, Report Builder turns them into charts, and Form Analytics tracks views, conversion rate and average completion time.
Jotform runs in the browser, and the free Jotform Mobile Forms app for iOS and Android collects data offline and can run a form in kiosk mode. Payment fields connect to 40 processors, among them Stripe, PayPal, Square and Authorize.Net. The integration directory includes Google Sheets, Excel, Salesforce, HubSpot, Airtable, Slack, Zapier and Make, with webhooks and a REST API for anything else. Every self-serve plan covers a single user, and the plans differ in how many forms, monthly submissions, stored submissions and gigabytes of upload space an account gets. Enterprise is the only multiuser plan.

Jotform suits one administrator who has to cover many kinds of forms at once: intake, registrations, orders and appointments. Its strength is coverage of the awkward cases. It works with 40 payment processors, the Appointment field syncs both ways with Google Calendar or Outlook, conditions can reroute notification emails, and the mobile app keeps collecting when a device goes offline, which suits inspections and trade-show sign-ups. For US healthcare, Gold adds HIPAA features and a business associate agreement, signed from the account's Data page, whereas Typeform signs one only for Enterprise and Growth Custom customers and SurveyMonkey offers HIPAA only on Enterprise.
The limits shape the rest. Every self-serve plan covers one user. Inviting teammates into a shared workspace needs Enterprise, and the fallback is a collaboration link that lets others co-edit a single form for 72 hours. Each plan caps active forms and stored submissions, and when storage fills up, Jotform deletes the oldest entry to make room for each new one. Reaching the monthly submission limit or the upload space has a hard edge. After a warning email, Jotform disables the account's forms on a stated date and shows "Form over quota" until the count resets, space is freed or you upgrade.
Starter allows 5 forms and 100 submissions a month with Jotform branding, enough to try the builder and little more. Bronze costs $39 a month, or $34 a month billed yearly, for 25 forms and 1,000 submissions a month. Most single users are better served by Silver, at $49 a month or $39 billed yearly, which raises that to 50 forms, 2,500 monthly submissions and 10 GB of upload space. Gold costs $129 a month or $99 billed yearly. There's no trial of paid plans, but Jotform refunds in full any cancellation made within 30 days of payment.
Choose Jotform when one person runs the forms and needs payments, bookings, offline collection or HIPAA coverage in one product. Teams where several people build and manage forms should look at Fillout instead, since every Fillout plan allows unlimited seats and forms keep collecting past the response limit. For simple forms on a small budget, Tally's free plan has no submission cap within its fair use policy.

Is Jotform free?
Yes. The Starter plan is free and includes 5 forms, 100 submissions a month, 500 stored submissions, 100 MB of upload space and 10 payment submissions a month. Forms carry Jotform branding, only one email notification with one recipient can be set up, and HIPAA features aren't available. Jotform doesn't offer a trial of its paid plans and points people to Starter instead. Paid plans start with Bronze at $39 a month, or $34 a month billed yearly. See Jotform pricing.
Can more than one person use a Jotform account?
Only on Enterprise. Starter, Bronze, Silver and Gold are each a one-user plan, and Jotform calls Enterprise its only multiuser plan, with user management and single sign-on. On the other plans, the owner can share a Form Collaboration link that lets other people, with or without a Jotform account, edit one form in the Form Builder at the same time. The link expires after 72 hours, and guest collaborators can't use the publish settings. Enterprise is priced by quote.
What happens when you reach Jotform's submission limit?
Your forms are switched off. When an account reaches its monthly submission limit or fills its upload space, Jotform sends a warning email and then disables the forms on the date given, showing a "Form over quota" message until the count resets, space is freed or you upgrade. Monthly submissions count entries from all forms, and deleting entries doesn't restore the count. Stored submissions work differently: once storage is full, each new entry deletes the oldest one, so download data you need to keep.
Is Jotform HIPAA compliant?
Yes, on the Gold and Enterprise plans. Turning on HIPAA compliance features moves the account's data to an isolated HIPAA system, and the owner then signs a business associate agreement from the account's Data page. After that, notification emails say a new submission has arrived but carry none of its data. Starter, Bronze and Silver can't use these features. Gold costs $129 a month, or $99 a month billed yearly, and like the other self-serve plans it covers one user.
Does Jotform use your form data to train AI?
In part. Jotform's AI policy says personal data is never used to train its AI, but data you put in the forms you create, such as form fields, may be used to train it, and some of its AI providers, OpenAI among them, use data to train their own models. Its privacy policy says the data you use to create forms is owned by you, and that Jotform doesn't sell customers' form data or personal information gathered from form responses.
